Notion is a collaborative tool that combines note-taking, knowledge base and task management, acting as a second brain to build a body of personal knowledge. It applies the idea of “everything is an object” to notes, allowing users to create, drag and link freely

Notion can become a personal database, rather than a mere note-taking tool, for storing, processing and querying information. In simple terms, information processing is to add tags and keywords to the data to establish the connection between information so that users can efficiently query the corresponding information, and information query is the most important, which determines whether the product is a personal database or a note-taking tool

Infinite levels

You can freely link to other pages or databases within a Page

Traditional note-taking applications use notes and notebooks to distinguish between files and folders.

Take Evernote as an example. It supports at most three levels of notebook group, notebook and note design. There are tags outside the hierarchy to associate notes with. The biggest feature is that the notebook can only store a list of notes, notes stored in the text.

Notion uses an infinite hierarchy of Pages design, which has the following characteristics:

  1. You can write content to each Page
  2. If nesting relationships are required, you can have multiple pages in a single Page.

After creation, click the link, and a button “↙backlinks” will appear below the page title of the link. Click to open it and you will see the linked page. Notion’s backlink shows all the places where the current page is referenced. Compared with the previous operation of copying links, the operation efficiency is greatly improved.

What can backlink be used for?

  • View the associated topic on the Wiki page
  • You can view all the scattered notes, documents, and tasks linked to the same project
  • Links to topics of interest while taking notes automatically create a collection of ideas

Template button

The Template Button is a handy way to quickly create templated content. Instead of creating a new table from scratch, you just make a template and then use the template button to create a new table.

What can template buttons be used for?

  • Create daily/weekly/monthly/annual plan templates
  • Create a book note template

The database

Database can be understood as a personal library. Different databases can be set up according to different purposes. SELECT BY Properties, WHERE BY Filter, and ORDER BY BY Sort.

Notion Database has the following three features:

  1. Highly customizable: You can add attributes to any data type, but one of the more interesting ones is Relation, which can be associated with other databases

  2. Standalone pages: Each data entry is a standalone Notion page, to which more information can be added

  3. Multidimensional Views: You can browse a Database by adding multiple views

What can a database be used for?

Notion’s kanban function is similar to Trello’s, allowing you to drag and drop management cards, add group members and dates. But compared with Trello, Notion lacks the usual features of teamwork, such as subscriptions and archiving.
